Kiroyan Partners is committed to maintaining a professional, fair, and respectful working environment where concerns can be raised and addressed appropriately. We recognize that an effective reporting mechanism is an important part of maintaining integrity, accountability, and trust within the organization.

Our reporting and grievance mechanisms provide channels for team members to raise concerns relating to workplace conditions, unfair treatment, harassment, discrimination, health and safety, violations of company rules or policies, and other matters that may require attention.

Our Commitment

We are committed to:

  • Providing clear and accessible channels for raising concerns.
  • Taking complaints seriously and handling them objectively and professionally.
  • Protecting the confidentiality of the reporting individual and the substance of the complaint.
  • Ensuring that individuals who raise concerns are treated fairly and protected from retaliation or discrimination.
  • Seeking appropriate and fair resolutions to concerns that are raised.

Our Employee Grievance Mechanism Policy establishes these principles and provides a structured process for receiving, investigating, and resolving workplace complaints.

What Can Be Reported

Concerns may relate to a range of workplace matters, including:

  • Unfair treatment by colleagues, supervisors, management, or other relevant parties.
  • Bullying, harassment, or discrimination.
  • Workplace health and safety concerns.
  • Violations of company regulations or internal policies.
  • Decisions or actions that may unfairly disadvantage an employee.
  • Concerns relating to employment rights, including compensation, leave, or other applicable entitlements.
  • Other workplace matters that may require formal review or resolution.

Our related Anti-Bullying, Harassment, Discrimination, Modern Slavery & Child Exploitation Policy also provides reporting and complaint procedures for concerns involving these forms of misconduct.

Reporting Channels

Kiroyan Partners encourages concerns to be raised at the earliest appropriate stage.

Open-Door Approach

Where appropriate, individuals may first seek to resolve a concern directly with the relevant colleague, supervisor, or management through constructive dialogue and good-faith discussion.

Where informal resolution is not appropriate or does not resolve the matter, the Open-Door Policy provides a channel for raising the concern directly with management. Under the formal grievance mechanism, complaints that do not involve the Board of Directors may be submitted to the Directors, while complaints involving the Directors may be submitted to the President Commissioner.

Formal Grievance Mechanism

Where a matter cannot be resolved through the Open-Door approach, a formal complaint may be submitted through Kiroyan Partners’ Employee Grievance Mechanism.

The formal process requires the submission of a grievance form and supporting evidence where available, such as relevant documents or witnesses. Individuals submitting a complaint are entitled to retain a copy of their grievance and receive a response within a reasonable period.

Fair and Objective Handling

Kiroyan Partners is committed to handling complaints objectively and fairly.

The grievance mechanism provides for the Company to receive and investigate complaints objectively, consider relevant evidence and witnesses, and provide the reported party with an opportunity to respond and present relevant evidence.

Where appropriate, the process may include formal meetings to seek resolution. The formal grievance mechanism provides for information on the progress of an investigation to be communicated within 30 calendar days after a complaint is received.

Confidentiality and Protection

We recognize the importance of protecting individuals who raise concerns.

The identity of the reporting individual and the substance of the complaint are treated confidentially. Individuals who submit complaints are protected against retaliation or discrimination in connection with raising a concern.

Our Anti-Bullying, Harassment, Discrimination, Modern Slavery & Child Exploitation Policy similarly provides that individuals reporting concerns can expect fair treatment, confidentiality, and protection from retaliation throughout the reporting process.

Resolution and Follow-Up

Kiroyan Partners seeks to resolve workplace concerns through good-faith discussion and deliberation wherever appropriate.

Individuals submitting a grievance may propose possible solutions, which will be considered as part of the resolution process. Where a matter cannot be adequately resolved through internal discussion, further resolution may proceed in accordance with applicable industrial dispute resolution procedures.

Where a violation of applicable policies is established, appropriate action may be taken in accordance with the Company Regulations and relevant internal policies.

Scope

The formal Employee Grievance Mechanism Policy applies to Kiroyan Partners’ permanent employees and provides a mechanism for employees to raise concerns involving colleagues, supervisors, management, or the Directors.

Separate reporting provisions apply under the Anti-Bullying, Harassment, Discrimination, Modern Slavery & Child Exploitation Policy, which covers members of the KP team including Directors, permanent employees, interns, project officers, and technical experts, as well as relevant parties interacting with the Company.

Governance and Alignment

Our reporting and grievance mechanisms form part of Kiroyan Partners’ broader governance framework and should be read alongside:

  • Code of Conduct
  • Anti-Bribery & Anti-Corruption
  • Conflict of Interest
  • Workplace Conduct & Human Rights
  • Data Protection & Confidentiality

Together, these frameworks support a professional environment in which concerns can be raised, reviewed, and addressed responsibly.
